Pool Committee
Charter

Committee Purpose

The purpose of the Pool Committee is to assist the board in overseeing pool functions, upkeep and rules. 

The Committee will assist the Board by recommending necessary changes to the pool area and/or rules, and work with the Board and Association Manager to resolve any issues with pool security.

The Pool Committee will be responsible for monitoring the pool usage, maintenance and equipment as follows:

  • Committee shall monitor adherence to the Shores of Wellington Community Pool Rules, which are posted inside the entry gate and on the website.   Committee shall work with the on duty security guard to establish a log of commonly committed offenses.  Committee Chairman will work with Association Manager and Security Company to resolve issues, and any proposed resolutions should be presented to the Board for further action.
  • Committee shall monitor the pool area for safety hazards, broken or damaged equipment or fixtures, and Committee Chairman shall report such matters to Association Manager.
  • Committee members shall work to keep pool area clean and free of trash and debris.   Any issues with cleanliness other than normal day-to-day litter (i.e., restroom cleanliness) shall be reported to Association Manager for resolution.
  • Committee shall work with the Board and Association Manager to ensure an updated resident roster is regularly sent to the Security Company.
  • Committee shall monitor the maintenance of the pool.  Pool Committee Chairman will meet with Association Manager and Pool Maintenance Company to understand the scope of work in the maintenance contract and will work with Pool Maintenance Company to resolve any issues.  Any cost related issues should go through Association Manager.  Any issues that remain unresolved should be reported to the Board for assistance in resolution.
  • Committee shall work with the Board to resolve any issues that may arise with residents regarding pool usage.
  • Committee shall review the Shores of Wellington Community Pool Rules annually, or as the need arises, and make any recommendations for changes to the Board.
  • Committee shall work with the Board to schedule Association sponsored parties and ensure after the party that no damage has been done at the pool area.

The Pool Committee will be responsible for working with the Board, Association Manager and the Communications Committee to communicate information regarding pool rules and functions to the residents.

Committee Organization

The Pool Committee is composed of five homeowners.  As a working part of the Pool Committee, sub-committees may be formed to assist Committee with monitoring rule compliance and general pool maintenance issues.  The number of people on sub-committees will vary dependent upon need.

The Chairperson and the Secretary shall be elected by the Committee members.

The term of office for the Chairperson and Secretary shall be 1 year.

Committee Operations

The Pool Committee shall meet once monthly during the months of May through September.  For off-season, meetings shall be held quarterly (in December and March), or more often if an event happens which necessitates more frequent meetings.  Meeting dates and times shall be coordinated through the committee members.

The Pool Committee will work within its budget for that year.  Any work that is to be performed that will be over the allotted budget will need to be requested in writing and submitted to the Association Manager (prior to the work being done) for approval by the Board. 

The Pool Committee will make recommendations to the Board of Directors.  There is no decision-making authority for Committee members.

A Board member prior to reimbursement must approve expenses incurred by committee members.
